1. Health, Safety & Wellness Policy

Objective

To ensure the physical safety, psychological wellbeing, and professional sustainability of all models and personnel.

Regulatory Framework

This policy complies with:

  • Occupational Health and Safety Act (Ontario)
  • Act Respecting Occupational Health and Safety (Québec)
  • Applicable Public Health Directives (Federal & Provincial)

Policy

Book Management Agency maintains a zero-compromise standard regarding health and safety.

Wellness Oversight
Models are expected to participate in bi-annual wellness assessments to ensure fitness for professional engagements. These assessments may include general health review, dermatological care awareness, and physical readiness evaluations appropriate to assignment demands.

Mental Health Support
Recognizing the unique pressures of the fashion and entertainment industries, the Agency facilitates confidential access to mental health resources, including counseling referrals and stress management support.

Workplace Safety Standards
All offices, productions, castings, and events must comply with provincial safety standards. Site evaluations may be conducted prior to engagement to ensure compliance.

Public Health & Illness Prevention
Sanitization protocols, health screenings where appropriate, and adherence to provincial public health guidance (including infectious disease protocols) are mandatory during all Agency-sanctioned activities.

2. Equity, Diversity & Inclusion Policy

Objective

To uphold representation that reflects global diversity while maintaining compliance with human rights legislation.

Policy

Book Management Agency is committed to inclusive representation across race, ethnicity, gender identity, religion, age, body type, and ability.

Discrimination, exclusionary practices, harassment, or bias by staff, models, or clients will result in disciplinary action, including possible termination of representation or contractual agreements.

Recruitment, casting submissions, and employment decisions are merit-based and evaluated through structured, unbiased criteria.

3. Code of Professional Conduct

Objective

To maintain the highest standard of professional excellence.

Policy

All individuals affiliated with Book Management Agency—including models, contractors, clients, and collaborators—are expected to conduct themselves with discretion, punctuality, respect, and contractual integrity.

Confirmed breaches of professional conduct may result in suspension or termination of representation or contractual relationship.

4. Anti-Harassment & Safe Workplace Policy

Objective

To ensure a workplace free from intimidation, harassment, coercion, or exploitation.

  • Ontario Occupational Health and Safety Act (Workplace Harassment Provisions)
  • Québec Act Respecting Labour Standards

Policy

Harassment, bullying, sexual misconduct, or exploitative behavior is strictly prohibited.

All complaints are investigated promptly and impartially. Substantiated violations result in corrective action, which may include termination.

5. Child Protection & Minor Safeguarding Policy

To ensure full protection of underage models.

Compliance

All bookings comply with:

  • Ontario Employment Standards Act
  • Québec Act Respecting Labour Standards
  • Applicable child performer regulations

Policy

A parent or legal guardian must be physically present at all professional engagements involving models under 18.

Assignments must respect educational requirements and legally permitted working hours.

The Agency prioritizes developmental, educational, and psychological wellbeing for all minors.

6. Contracts, Compensation & Commission Policy

Objective

To ensure transparency, fairness, and legal clarity.

Policy

All representation agreements clearly define:

  • Scope of services
  • Commission structure
  • Compensation terms
  • Image usage rights
  • Duration and exclusivity
  • Termination provisions

Commission percentages and any applicable deductions are disclosed prior to execution.

Payments are processed within a reasonable timeline unless otherwise stipulated. 

No hidden fees or unauthorized deductions are permitted and as stipulated. 

7. Privacy & Data Protection Policy

  • Québec Law 25 (An Act Respecting the Protection of Personal Information in the Private Sector)

Policy

The Agency collects only essential personal information required for professional representation.

Data is stored securely with restricted access protocols.

Personal information and images are not disclosed without written consent, except where required by law.

Image licensing and usage rights are governed strictly by executed agreements.

Personal opinions must not be represented as official Agency positions.
